1. Who we are and how to contact us

This policy explains how Dr. Khalil Shah, operating as Train With Dr. K in Dubai, handles personal information received through coaching enquiries, the contact form on drkhalilshah.com, and our Instagram/Facebook lead ads and direct-message conversations.

This policy covers enquiries and follow-up about our coaching services. It does not describe the separate processing of medical records, clinical assessments, or information entered into the Sahaj app or other client portals. Please review any additional notice provided for those services before submitting information there.

2. Information we receive

Depending on how you contact us, we may receive:

Our initial Instagram lead conversation asks about your coaching preference, city/country and intended start time. It does not ask for a diagnosis, medical history, test results or other health records. Please do not send medical reports, identification documents, payment-card details or other sensitive records through this initial enquiry flow. If you include sensitive information voluntarily, we may receive it as part of your message; contact us if you want us to review or remove it, subject to applicable requirements.

The website enquiry form prepares an email in your own email app. Entering information into that form does not, by itself, send it to us. We receive the enquiry when you send the prepared email.

3. Why we use this information

We use enquiry information to answer your questions, understand which coaching format you are interested in, share relevant options and pricing, arrange next steps, and manage requested follow-up and our enquiry records.

Where applicable, this processing is based on your request to receive information or take steps towards a service, your consent, or another basis permitted by applicable law. For uses that require separate consent, we will ask for it before that use begins. Sending an enquiry is not an agreement to receive unrelated promotional messages.

You can ask us to stop follow-up at any time by replying in the conversation or emailing the contact address above. If you do not provide information needed to answer your request, we may be unable to give a specific response or arrange the requested next step.

4. Storage, access and service providers

Enquiry records may be kept in the original Instagram/Meta inbox or email correspondence and in Airtable, Google Drive and local business files/devices used to manage enquiries.

Dr. Khalil Shah and team members handling your enquiry may access the information relevant to their work. Our policy is to limit access to people who need it for the purposes described here.

Meta, Airtable, Google and our email/website service providers process information as needed to provide their services. Meta also processes your use of Instagram and Facebook under its own privacy policy. These providers may handle information outside your country of residence. Information is therefore not necessarily stored only in the country where you live. International processing is subject to applicable data-protection requirements. Contact us if you have a question about the providers used for your enquiry.

Information may also need to be disclosed where required by law or to respond to a valid legal request. This notice does not authorise an unrelated use of your information by another business.

5. How long information is kept

Enquiry records are kept for as long as reasonably needed to respond to the enquiry, manage relevant follow-up and maintain necessary business records. The appropriate period depends on whether the enquiry remains active, whether you become a client, and any applicable legal or record-keeping requirements. There is no single fixed retention period stated for every enquiry.

Our policy is to delete or anonymise information when it is no longer needed, subject to applicable requirements. Copies in service-provider backups may remain until those backups are replaced or removed under the provider's processes. You may contact us to ask about retention of your particular information or request deletion.

6. Your choices and privacy requests

You may contact us to request access to your information, correction of inaccurate details, deletion, or a restriction on further use, and to withdraw consent where processing relies on consent. Availability of particular rights and exceptions depends on applicable law. Withdrawal does not affect processing that was lawful before it was withdrawn.

Send your request to info@drkhalilshah.com and tell us which email address or Instagram username you used to contact us. We may need to verify that the request relates to you, using proportionate information. Please do not send an identity document unless we explain why it is necessary and how to provide it appropriately.

Deleting our enquiry records does not automatically delete information that Meta or another platform independently holds. Use that platform's privacy controls for its own records. You may also raise concerns with the relevant data-protection authority where applicable.

7. Security

Our policy is to handle enquiry information confidentially, limit access for the purposes described above, and take reasonable steps to protect the accounts and devices used to store it. No online service, email system or device can guarantee complete security. Please contact us if you believe enquiry information has been exposed or used incorrectly.

8. Website and platform technology

The website host may process technical information, such as an IP address and browser/request details, to deliver and secure the website. Instagram, Facebook and other third-party services use their own technologies and privacy settings when you visit or interact with them. This policy does not replace those services' privacy notices.

9. Age and updates

This coaching lead conversation is intended for adults aged 18 and over. If information about a child has been submitted through this enquiry flow, please contact us so we can review it.

We may update this policy when the enquiry process or relevant requirements change. The date above identifies the latest version. We will communicate material changes requiring notice or consent before the affected new use begins.
